The 7-Point Parts Ordering Checklist I Use Before Buying Aisin Timing Belt Kits and CV Axles

If you order parts for a repair shop, a fleet, or even your own project vehicle, this checklist is for you. It's not a lecture about buying OEM. It's the exact process I've used since I stopped trusting the screen and started checking the parts in my hands.

I've spent 12 years working with automotive component orders, first as a purchasing trainee and now as the person who maintains our team's parts-inspection checklist. I've personally documented 14 significant mistakes. Together, they totaled roughly $32,000 in wasted budget. This list is the result.

The core idea underneath every step is total cost. The price on the screen is only the beginning.

1. Compare total cost, not the box price

Before you pick a part, write out the total cost: part price, freight, install labor, the chance of rework, and the cost of downtime if it fails. I now calculate total cost before comparing any vendor quotes.

Here is a simple example. I once compared a no-name belt-only kit to an Aisin TKT-021 timing belt kit with water pump. The no-name was $80 cheaper. Actually, $80 cheaper before shipping. It did not include a water pump or an idler. I had to order those separately and pay a second freight charge. It ended up about $60 more expensive and took three extra days. Checkpoint: If a price difference is less than 10% of the total job, it should not drive the decision.

2. Verify the part number against the actual vehicle

Don't order an Aisin CV axle from memory. I've done it, and it hurts. In 2023, I ordered six CV axles for a fleet of 2018 vehicles. Two had the wrong spline count. They looked fine in the photo. The invoice part number did not match the VIN-specific listing. Restocking cost me $140, and the fleet's schedule slipped by two days.

This gets into driveline engineering territory, which isn't my expertise. What I can tell you from a procurement perspective is that a 30-second VIN check is cheaper than a return.

Checkpoint: Is the part number cross-checked against the VIN/build date? If not, stop until it is.

3. Open the box before you remove the old part

I know this sounds basic. The label says the part number is correct, so the box sits on the shelf until install day. That's how I lost $3,200 in my first year. I accepted a batch of stamped brackets without opening the cartons. The flange angle was off by 4 degrees. Every single bracket needed rework. The parts were stamped wrong, and no one caught it because no one looked inside.

For kits, this matters even more. The Aisin TKT-021 timing belt kit with water pump arrives with the belt, pump, tensioners, and idlers in one package. If you are buying a generic 'kit' and only check the main part, you are gambling on the rest.

4. Know the failure mode: intake vs exhaust manifold

The intake vs exhaust manifold question comes up a lot, usually like it's one decision. It isn't. An exhaust manifold sees repeated heat cycling, so it tends to crack near welds and flanges. An intake manifold sees lower heat but deals with oil vapor and carbon buildup, which can clog EGR passages and create vacuum leaks. The replacement part has to match the failure mode.

I'm not a combustion engineer, so I can't design a manifold. What I can tell you from the ordering side is this: if the original cracked from heat, a budget replacement with the same design will probably crack too.

Checkpoint: What was the original failure? Does the replacement address that condition, or does it just bolt on?

5. Don't skip the cheap protection parts

The cheapest part on an invoice is sometimes the one that saves you. I had a customer with a Yamaha MT-07 who was replacing a radiator. They asked about an MT07 radiator guard while we were ordering the radiator. I said it wasn't necessary. Two months later, a rock went through the new radiator. The replacement was roughly $450 in parts, plus coolant, labor, and downtime. The MT07 radiator guard was about $40. I should add that I was wrong to suggest skipping it.

That's a total cost decision, not a nice-to-have.

Checkpoint: If the repair was caused by debris, is protection part of the repair?

6. Check warranty labor coverage before you order

A free part can still be an expensive part if the warranty doesn't cover labor. I don't have hard data on every supplier's claims process, but based on our last 18 months of orders, we waited 21 days for one credit on a $180 part, and the credit did not include the $240 diagnostic labor. That part was not free; it was $240 of labor on top of the wait.

Ask the question before you order. As of January 2025, every supplier on our approved list has to state warranty labor coverage in writing. The same logic applies to IATF 16949-certified suppliers: the certification speaks to quality systems, but it doesn't tell you who pays for reinstallation.

Checkpoint: Does the warranty include labor? If the answer is unclear, keep shopping.

7. Photograph everything

Take photos of the old part before removal, the new part before installation, and the part number label. This is the step our team used to skip because it feels like paperwork. It isn't. I've avoided at least two warranty battles because I could show a photo of the original tag side by side with the new part.

That said, photos don't fix a wrong part. They just make the conversation faster.

A few mistakes I still see

The biggest one is the 'thrifty muffler' trap. If you choose a muffler based on price alone, you can pay for hanger modifications, exhaust leaks, and a second install. I once watched a $120 thrifty muffler turn into a $400 problem because the outlet position was wrong. The money was not in the muffler; it was in the fit.

Another mistake is overbuying. If the OEM spec calls for a stamped steel manifold, a billet racing manifold may be a waste of money. It might even cause fit problems. Buy for the application, not for the spec sheet.

And read the return policy before you click. A restocking fee can eat a small price advantage in one shot.

This checklist came from mistakes, not theory. It won't catch every bad part. It catches the ones I used to make.
